How to Design a Handbill using MS PowerPoint 2010

You might have doubted the possibility of using PowerPoint to design a professional document like handbill. Or maybe someone has suggested to you that such can be accomplished but you never believed. No more doubt. The answer is here. In this tutorial, I am going to walk you through the steps to accomplish this seemingly daunting task. Nevertheless, I implore you to follow me carefully as I show you the steps, one after the other.

AIMS:

  • Readers should be able to design professional looking documents at the end.
  • Readers should be able to draw shapes and format them accordingly.
  • Readers will be able to measure objects and position them appropriately at the end.

WHAT YOU NEED TO BEGIN

  • A Desktop or Laptop computer
  • Microsoft Office (Ms PowerPoint Application)
  • Basic knowledge of handling keyboard and mouse
  • Basic knowledge of Measuring objects

Now, let’s begin by launching our application software.

STEPS ONE: LAUNCH POWERPOINT

  • Click on START MENU
  • Click on ALL PROGRAMS
  • Click on Microsoft Office
  • Click on PowerPoint to launch

STEP TWO: SETUP SLIDE

  • Click on DESIGN tab
  • Click on PAGE SETUP under page setup group
  • Page setup dialog appears
  • Choose your paper size from the SLIDES SIZED FOR box
  • Set the slides orientation to LANDSCAPE
  • Click OK.

This part is concerned with drawing and designing of objects that makes up the main concept.

STEP THREE: DRAW AND DESIGN

In drawing the objects that make the design’s background, you should take notice of the slides size based on the paper type you chose. For instance, the width of the paper is 27.51cm and the height is 19.05cm. Now, to be very precise and accurate in your measurement of the rectangles the paper size should be taken into consideration.

ACTION 1:

  • First, click on SHAPES
  • Click on RECTANGLE object
  • Left click, hold and drag your mouse from left to right of the screen; then depress

(Now, let’s go into the logical part of the design process. Remember, our paper height was 19.05cm.)

  • Click on FORMAT tab
  • Within SIZE group, enter 19.05 into height box and 27.51 into width box (Doing this gives you exactly the slide’s width and height, making it perfectly fit)
  • Still in FORMAT tab, under SHAPE STYLES group, click on the dialog launcher icon (Dialog box appears)
  • In the Format Shapes dialog box, FILL command on the left pane is active
  • Click the GRADIENT FILL option button
  • Set angle to 90o degree
  • Set type as LINEAR
  • Under GRADIENT STOPS:
  • Select color stop 1 – position 0%, click the color box and choose gray (White, background 1, darker 35%)
  • Select color stop 2 1 – position 50%, click the color box and choose gray (White, background 1, darker 35%)
  • Select color stop 3 1 – position 100%, click the color box and choose gray (White, background 1, darker 50%)
  • Click to activate the LINE COLOR command on the left pane, at the right side, select the NO OUTLINE option button
  • Click CLOSE to exit the dialog

ACTION TWO:

  • Select the first rectangle and duplicate (CTRL + D)
  • Under FORMAT tab, SIZE RIBBON GROUP, type 0.49cm into the SHAPE HEIGHT BOX and press ENTER on your keyboard to activate the measurement.
  • Still under FORMAT tab, click the ALIGN command and choose ALIGN MIDDLE, next choose DISTRIBUTE HORIZONTALLY. (Doing this sets the second rectangle in the middle of the slide equally).
  • Change the fill color to red: FORMAT tab > SHAPE FILL > RED COLOR

ACTION 3: ROUNDED RECTANGLE

  • Click INSERT tab
  • Click SHAPES
  • Click ROUNDED RECTANGLE tool and drag to draw
  • Move and position rectangle on the second rectangle that divide the slide (See Illustration for clarification)
  • Click FORMAT tab
  • Click SHAPE FILL > RED COLOR
  • Click SHAPE EFFECTS > SHADOW > OUTER > OFFSET LEFT
  • Duplicate the rectangle (CTRL + D) and position the duplicate orderly

ACTION 4: MEASUREMENT

  • Select the first rectangle and duplicate (CTRL + D)
  • Under FORMAT tab, SIZE RIBBON GROUP, type 1.52cm into the SHAPE HEIGHT BOX and press ENTER on your keyboard to activate the measurement.
  • Still under FORMAT tab, click the ALIGN command and choose ALIGN BOTTOM, next choose DISTRIBUTE HORIZONTALLY. (Doing this sets the third rectangle at the bottom of the slide harmoniously).
  • Change the fill color to red: FORMAT tab > SHAPE FILL > RED COLOR

ACTION 5: INSERTING IMAGES

  • Click on INSERT tab
  • In the IMAGES RIBBON GROUP (called ILLUSTRATION in other versions other than 2010), click on PICTURE command (Picture dialog box appears)
  • In the picture dialog, choose picture location (folder) from the left pane
  • Hold down Control key (CTRL) and click five pictures of your choice (holding control key and click, selects more than one picture)
  • Click on INSERT

All five pictures appear on slide in cluster. Now, click to select each picture and resize. That is click, hold and drag the node or anchor point on the diagonal top right of the picture. Next, click, hold and drag to move and position the picture on desired spot. If you please, simple position them as in this tutorial’s illustration.

STEP FOUR: POSITION AND FORMAT TEXT

ACTION 1: INSERT AND POSITION WORDART

  • Click INSERT tab
  • Click WORDART tool (TEXT RIBBON GROUP)
  • Pick any design type
  • Type HARNESS (All caps) {You are free to use your own text. But if you want to be in pace with this tutorial, then  use HARNESS}
  • Duplicate first text
  • Edit the duplicated text and replace with DREAMS
  • Duplicate, edit the duplicated text and replace with WE CREATE. WE BUILD. WE INNOVATE
  • Keep duplicating and editing to position all other texts
  • To place the design below: INSERT > RECTANGLE > (CIRCLE: duplicated, one inside the other)
  • Draw a long rectangle and position it below the circle

ACTION 2: FORMAT WORDARTS

  • Select WORDART 1
  • Click FORMAT tab > TEXT FILL
  • FORMAT > TEXT OUTLINE > COLOR: BLACK > WEIGHT: 41/2
  • FORMAT > TEXT EFFECTS > GLOW > GLOW OPTIONS > COLOR: BLACK > SIZE: 8PT > TRANSPARENCY: 40%
  • FORMAT TAB > TEXT EFFECTS > BEVEL > BEVEL > CIRCLE

  • Select WORDART 2
  • FORMAT > TEXT FILL > COLOR: RED
  • FORMAT > TEXT OUTLINE > COLOR:WHITE
  • FORMAT > TEXT EFFECT > SHADOW > OFFSET DIAGONAL TOP RIGHT

  • For SERVICES AND REACH US
  • Select the two WORDARTS and pick any effect from the WORDART STYLES group and then position them on the red round rectangle accordingly

  • For Text under SERVICES
  • Select the text, click on HOME > BULLETS > HOLLOW SQUARE BULLETS
  • Position the text under REACH US and format it accordingly
  • Position the CREATING PATHWAYS text on the red rectangle at the bottom of the slide, select and choose the font: FREEHAND521 BT. Note: Ensure the text is lowercase

ACTION 3: SELECT PICTURES AND FORMAT

  • Select all the pictures (You select by Holding down SHIFT key and be clicking your mouse on one after another)
  • Click on FORMAT, choose METAL FRAME under PICTURE STYLES ribbon group
  • Still under PICTURE STYLES ribbon group, click on PICTURE EFFECTS
  • After that, click on SHADOW > OUTER > choose OFFSET DIAGONAL BOTTOM RIGHT

Hurray! Yur design is now brought to live. Just press the F5 key to display the preview of your work. Boom! There you are. Your handbill is ready for printing, publishing and presentation. Enjoy.
